Responsibilities
- Pick up phone calls and pass them to the right team members.
- Welcome guests, guide them, and connect them with staff.
- Jot down details of calls and visitors in neat records.
- Keep the front desk clean, organized, and ready for clients.
- Arrange meeting room bookings and check they’re set up.
- Sort incoming letters and packages, and work with couriers for outgoing items.
- Look after pantries and mailrooms to keep them tidy and stocked.
- Note down costs for office supplies and help with invoice tasks.
- Request business card printing for employees as needed.
- Ensure brochures, magazines, and signs are fresh and available.
- Run the helpdesk, log problems, and alert the Facilities Manager to urgent issues.
- Handle basic clerical work, like filing papers or typing notes.
- Lend a hand with office events, like team gatherings or workshops.
- Pull together details for monthly office updates.
- Watch contractor tasks using office tools.
Requirements
Education
Diploma in Business Administration, Office Skills, or a similar area. Extra certifications are a bonus.
Experience
1-3 years in customer service, front desk, or office support roles.
Skills
- Clear, friendly spoken and written English and Chinese.
- Ease with Microsoft Word, Excel, and email software.
- Knack for handling several tasks while staying on track.
- Warm, professional style when working with clients.
